Job Description
About the job:
A Site Coordinator for the PEF Summer Enrichment Program serves as an educational leader, responsible for managing policies and procedures to ensure all students are supervised in a nurturing and enriching environment that meets the mission of PEF Summer.
Our classes are for elementary- and middle-school-aged students. High school students participate in our program as Summer Youth Leader volunteers. We are not offering any high school classes this year.
The Site Coordinator will work closely and collaboratively with PEF staff members to direct, support, and communicate effectively with parents, teachers, and students. This leadership position requires direct supervision of teachers and staff, communication with parents, intervening with student behavior issues, and reporting pertinent information to PEF’s program manager and other assigned staff.
Our 5-week morning program typically begins 1 week after the final day of the PUSD school year (exact dates TBD) and runs 4 days a week for 5 consecutive weeks with the exception of Juneteenth and the 4th of July. Successful Site Coordinator candidates need to be available a week before the program and for the entirety of the program.
Please note:
- Both current PUSD and non-PUSD employees are welcome to apply.
- Prior employment by PEF does not guarantee a position for the 2025 year.
- Site Coordinators must be available for the entire summer program, including before, during, and after operational hours as needed.
- While we try to match candidates to their preferred campus and/or area of interest, we reserve the right to place as needed.
- Positions are contingent on strength of the candidate, and number of positions available. PEF will contact you no later than February, when more details about the program are available.
Compensation is a flat-fee amount paid one-time approximately 1 week after the conclusion of the program. This position is an exempt, part-time position with PEF and is not eligible for benefits. Employment is contingent upon verification and timely completion (before program starts) of all mandated payroll tax (W-4, DE4) and employment eligibility (I-9) forms, and also a background check.
Specific responsibilities include but are not limited to:
- Supervise and support all staff and volunteers, including teachers, office managers, health clerks, and project aides, to ensure that a quality program is delivered, and that all staff members comply with all PEF protocols and procedures, including the use of the BambooHR time management program.
- Attend virtual or in-person meetings to plan the program with the PEF Program Manager and other staff.
- Assume responsibility for the health, safety, and welfare of students, visitors, and staff. In case of an emergency, the site coordinator must be able to lift 70 pounds.
- Provide one drill at the beginning of the program for emergencies and disaster preparedness.
- Develop pick-up and drop-off procedures for your campus and notify PEF Program Manager of all plans before the start of the program and also with any changes during the program.
- Use effective and appropriate communication when addressing students, teachers, parents, and others.
- Make sound judgment calls and use appropriate conflict resolution techniques in difficult situations regarding student behavior, emergency situations, etc.
- Arrive on campus 30 minutes before the program starts each day to ensure the campus is open and ready to accept visitors. The Site Coordinator must remain on campus 30 minutes after the morning program has ended and all students not in afternoon programs have been picked up. The Site Coordinator must communicate with the Afternoon Camp Coordinator before leaving, if applicable.
- Site Coordinators, and all staff, should remain on campus for the entire duration of a daily shift, unless an emergency arises, in which case the PEF Program Manager must be contacted.
- Ensure that meal and/or snack programs provided by PUSD Food Services Program run smoothly.
- Assist with program set-up preparations the week before the program starts, including meeting with teachers and/or staff and opening the campus for set-up.
- Ensure volunteers are supported and report any concerns to the PEF Volunteer Manager.
