We are seeking a talented, organized, and experienced individual to join our team in the role of Executive Assistant. HME Home Health is a fast-growing company with over 130 full-time staff in offices located in Richmond, South Surrey, Victoria, Nanaimo, Kelowna, North Vancouver,
and Sechelt.
Job Overview:
This position is responsible for providing administrative support to an HME Senior Leadership. Hours for this role are full-time, in-office, based in our Richmond Head Office, Monday to Friday, 8:30 am to 5:00 pm. Key responsibilities:
- Assist Executive Team with Corporate Quotations, including product/pricing research, quotation preparation, and follow-up.
- Track Corporate Quotations, including phone calls to manufacturers and purchasers.
Processing of quotations to orders upon approval. - Support Senior Leadership with general administrative support.
- Provide scheduling and meeting preparation assistance for Senior Leadership.
- Internal and External Event planning and organization for Senior Leadership and Sales Management.
- Corporate research for products, projects, and targets.
- Respond to information requests, preparing the necessary documentation, ensuring follow-up actions.
- Draft and receive approval for written communications, reports, presentations, and spreadsheets.
- Conduct research and generate reports, special projects, and analyses.
- Prepare meeting agendas to maximize time efficiency, take notes during meetings, and write summaries.
- Assist with RFP bid responses, as needed.
- Assist with data entry and database maintenance.
- Stay current with the business’s organizational structure, policies, goals, and objectives.
- Work collaboratively with the EA Team to support all Executives and Senior Leadership administratively.
- Other Administrative Tasks not specifically listed may be required within the scope of this position.
What you offer:
- Previous experience as an Executive Assistant is preferred.
- Organized, Task-Oriented.
- Ability to learn and work independently as well as within a team.
- Comfortable with computers – Microsoft Office Suite.
- Must have a friendly, positive attitude and possess the ability to have fun while working in a fast-paced environment.
- Valid driver’s license – L and N are not acceptable.
