What You’ll Do

As the Executive Assistant to the Managing Director, you will play a critical role in ensuring the Managing Director can effectively lead CANZA in its mission. You’ll provide organizational, administrative, and strategic support in a fast-paced, dynamic environment.

Strategic Partnerships Coordination

  • Act as a key liaison between the Managing Director and leaders from major organizations across the agri-food, sustainability, and policy sectors.
  • Facilitate communication and collaboration with high-level stakeholders, ensuring the Managing Director is well-prepared for engagements that drive CANZA’s mission forward.
  • Monitor strategic priorities, track deadlines, and ensure follow-ups to keep initiatives on track.

Operations & Team Excellence 

  • Oversee the Managing Director’s schedule, aligning priorities with CANZA’s ambitious goals and ensuring seamless daily operations.
  • Organize travel logistics, prepare expense reports, and coordinate team documentation to support efficient workflows.
  • Assist in building a positive, purpose-driven team culture by organizing virtual and in-person engagement activities.

Events & Engagement Support 

  • Coordinate high-priority meetings, events, and workshops, ensuring alignment with CANZA’s strategic objectives.
  • Prepare compelling presentations, reports, and materials for key stakeholder engagements.
  • Represent the Managing Director’s office with professionalism and diplomacy in interactions with internal teams and external partners.

Problem-Solving

  • Take initiative to solve complex challenges and adapt to evolving priorities in a fast-paced environment.
  • Proactively identify opportunities to enhance efficiency and contribute to CANZA’s success beyond the defined scope of responsibilities.
  • Provide critical support on high-stakes projects, ensuring quality outcomes that align with CANZA’s mission.

Qualifications

  • Experience: 5+ years in an Executive Assistant or similar role, preferably in nonprofit or mission-driven organizations.
  • Technical Skills: Proficient with Zoom, Miro, ClickUp, and Google Workspace (Docs, Sheets, Gmail).
  • Organizational Expertise: Demonstrated ability to manage complex schedules and high-pressure deadlines with precision.
  • Remote Work Competence: Proven track record of productivity and engagement in fully remote work environments.
