Role: Student Services Coordinator (Korean speaking)

Reporting to: Student Services Manager (SSM) 

Place of Employment: 555 Richards Street and 560 Granville Street, Vancouver 

 

The Student Services Coordinator is an integral member of the student services team, providing administrative and advising support to current and future students. The Student Services Coordinator is responsible for a range of administrative tasks associated with the smooth and successful running of both ILSC Vancouver and Greystone College Vancouver. These administrative tasks include, but are not limited to, creating various reports, preparing transcripts, coordinating graduation, collaborating with internal teams to support on finance and accounting tasks, answering emails, etc. In addition to administrative functions, the Student Services Coordinator completes advising tasks, supporting students with enrolments, guidance on their study plans, and supporting on any questions or concerns they may have. 

 

With the many changes and innovations in ILSC and Greystone College (GSC), the role will require someone who is adaptable and comfortable working across different areas of the school. In addition to possessing these skills, a successful candidate for this role will be a strong communicator with excellent organizational skills and the ability to multitask.  

 

The Student Services Coordinator position will begin as a part-time position, with 20 hours of work per week. On September 9, 2024, this position will be transitioned to a full-time, salaried position with 37.5 hours of work per week. This position’s work hours are as follows:

 

  • From start date until the end of training: 11:00am to 3:00pm
  • From end of training to September 6, 2024: Monday to Thursday, 3:30pm to 7:30pm, Friday, 2:00pm to 6:00pm
  • From September 9, 2024: Monday to Thursday, 11:00am to 7:30pm, Friday, 9:30am to 6:00pm

 

Duties and Responsibilities 

 

Administration Assistance: 

  • Manage ILSC and Greystone College administrative email accounts
  • Provide front desk student/customer support
  • Ensure excellent customer service
  • Sorts through mail and packages received
  • Receive and tracks payments
  • Responsible for working with internal and external teams to oversee facility maintenance
  • Complete a broad range of database related tasks
  • Manage and update all require student documents for ILSC and Greystone College, including but not limited to: school contracts, student intake reports, immigration documents
  • Support with graduation including the preparation of graduation reports, coordination of the graduation event, and creation/distribution of diplomas and transcripts
  • Assist with student events and participate in public speaking when necessary
  • Maintain compliance related to admin, such as contracts, school policies, procedures, enrollment documentation, academic files, etc.
  • Follow up with students on Study Permits and Work Permits
  • Collaborate with Admissions team regarding pre-arrival students
  • Support the accounting and finance team by scanning invoices, collecting payments, and coordinating required documents/procedures related to tax season
  • Assist School Director and other managers with assigned tasks and projects
  • Other administration duties/tasks as required

 

Student Advising: 

  • Provide advising assistance to students on their study plans, and extending to ILSC, GSC or partner programs
  • Assist current students with any questions or concerns about non-academic matters
  • Assist with enrolling students into new programs or extending programs for current students
  • Liaise with agent partners about student matters

 

Essential Qualifications, Skills, and Attributes 
 

  • Bilingual fluency in English & Korean. Fluency in other languages an asset.
  • Strong communication skills
  • Ability to multitask with strong attention to detail
  • Proven previous experience of working effectively in a fast-paced environment
  • Excellent organizational and computer skills
  • Proactive with strong problem-solving and critical-thinking skills
  • Ability to maintain calm composure in a high-stress and high-volume setting
  • Collaborative and adaptable
  • A self–starter who works well individually and in groups

 
Education and Experience Required 

  • Post-secondary education preferred
  • Experience in student services/administration, preferably in an international environment
    • Experience with student events and public speaking
    • Sensitivity to numbers an asset
    • Experience with social media an asset
