The Office Administrator ensures the wheels keep turning smoothly in proactively supporting our operations. C-Therm is seeking a mature, highly organized individual who can operate effectively in a fast-paced, dynamic environment.

Our firm is currently looking for an experienced Office Administrator. This position will play an integral role in the customer service and organizational strength of our company. The Office Administrator will provide administrative support, greet and direct visitors and answer and respond to calls and emails. Qualified candidates will have impeccable verbal and written communication skills, a strong ability to multi-task and a friendly demeanor.

Duties Required
• Run day-to-day operations of our office
• Greet visitors and direct them to the appropriate offices
• Conduct clerical duties, including filing, answering phone calls, responding to emails and preparing documents
• Assist in the drafting of job postings and early candidate screening
• Manage new team member onboarding, orientation, and skills training for employees.
• Coordinate and oversee food and beverage vendors including lunch catering, pantry equipment and appliances, and our snack & beverage program
• Organize monthly town hall team meetings and quarterly team building events.
• Coordinate / organize service providers for security, janitorial and facility maintenance
• Data entry
• Assist in administering payroll and benefits programs.
• Coordinate grant claims
• Schedule meetings and travel arrangements for members of the company
• Order supplies and equipment as needed
• Organizing mail and support for posting brochures

Skills Required
• College diploma or equivalent
• 2+ years’ experience working in an office setting
• Excellent written and verbal communication skills
• Strong knowledge of Microsoft programs, Salesforce.com knowledge is preferred
• Ability to multi-task and prioritize projects
• Customer-service oriented
• Able to complete complex administrative tasks with minimal supervision
• Graphic design skills (Adobe Illustrator®) would be considered a significant asset
