Apex Geomatics has an exiting opportunity for a Project Assistant to join our operations working out of our head office in Sherwood Park, Alberta.

In this role, the Project Assistant will be instrumental in ensuring effective execution through assisting the project manager and cross-functional teams with resource logistics, travel coordination and other project-specific administration. They will be highly detailed, responsive and an organized multi-tasker. Key Responsibilities:
- Assist project managers in daily coordination and controls, such as managing logistics, procurement, scheduling, inventory and LEM preparation.
- Participate in regular forecasting to anticipate project demands.
- Participate in the scheduling and facilitation of project-related meetings and record detailed minutes.
- Manage employee travel and accommodation bookings, adhering to project schedules and deadlines.
- Execute the procurement of resources and the coordination of supplying to various projects.
- Working with the project manager, ensure timely communication of change to relevant parties.
- Prepare daily LEMs, diligently adhering to the process and timelines for submission and receipt.
- Maintain a current inventory and records of fleet and equipment.
- Monitor and ensure adherence to preventative maintenance and inspection schedules.
- Coordinate the arrangement of vehicle and equipment repair and servicing.
- Maintain up-to-date tracking history of maintenance or repair requests and services performed.
- Provide support to the onboarding and mobilization team for new field employees and subcontractors.
- Perform weekly health and safety documentation audits on assigned projects and maintain statistical tracking.
- Ensure field employee safety requirements are fulfilled as part of the employee onboarding and mobilization process.
- Responsible for the timely booking of drug and alcohol testing and training courses as required.
- Maintain health and safety supplies, including but not limited to, personal protective equipment, vehicle safety accessories and emergency equipment.
- Perform any ad hoc project assignments under the direction of the project manager.
Skills & Qualifications:
- High school diploma or equivalent is required.
- Post-secondary education with a degree, diploma or certificate in administration, project management or other relevant field, is preferred.
- Minimum of 1 year experience in project administration, coordination, or a related role.
- Possess a basic understanding of remote worksite operations, logistics and project workflows.
- Experience working in an industrial construction or civil engineering company is beneficial.
- Excellent communication skills, effective time management and proven problem-solving ability.
- Proficient in the use of Microsoft Office applications.
- Valid Class 5 Driver’s License.
